On the Hardware Check Screen, You May See the Following Message:

"The following unauthorized softwares are in use, blocking you from starting the exam."


This means that software that could compromise the integrity of the exam (such as remote control software, Zoom, Teams, etc.) is running in the background.

Even if you did not manually start the software, it may still be running in the background.




Instructions for Closing Background Applications

  1. When the system displays an unauthorized application, click the X to terminate it (this process may take a few seconds).

  2. After the process is closed, the system will display the next unauthorized application that needs to be closed. Return to step 1.

  3. Repeat these steps until you receive a message that no additional unauthorized applications were found




Applications That Run Multiple Processes

Please note that some applications run several different processes—some of which may have the same name. As a result, the same application may appear repeatedly in the list of unauthorized software to be closed.

In such cases, continue clicking the X until all processes related to that software have been removed.


What to Do If the Software Won’t Close?

In some cases, the system may not be able to terminate the software. This can happen for various reasons, such as insufficient permissions.

  1. Take note of the name of the software shown in the message—this is the software you need to close.

  2. Completely exit the Vix application.

  3. Open the Task Manager:

    • On Windows: Press Ctrl + Shift + Esc simultaneously.

    • On Mac: Press Command (⌘) + Option + Esc.

  4. In the window that opens, find the software name shown in the message and manually close it (including all its processes).

  5. After closing it, reopen the application and check if the message still appears.

If the software continues to appear, repeat the process.


Closing Microsoft Teams

In many installations, this software continues running in the background—even when the interface is closed—and cannot be shut down directly from its interface.

You can disable background running for the software, at least for the duration of the exam:

  1. Open the software settings
    Click the Start menu and search for Microsoft Teams.
    Right-click the icon and select App Settings.

  2. Disable Background Permission and Auto-Start

    • To disable the software from running in the background: Under Background apps permissions, select Never.

    • To prevent the software from running at computer startup: Scroll down to Runs at log-in and turn off the option for Teams.
